The Apex Process
A Clear Path from Vision to Reality
Building a custom home should feel exciting and rewarding — not confusing or overwhelming. At Apex Homes Florida, we guide our clients through a structured design-build process that transforms ideas into a carefully planned and beautifully executed new custom home.
With more than 25 years of experience building custom homes throughout Northeast Florida, we have developed a process that prioritizes:
• thoughtful planning
• clear communication
• budget alignment
• exceptional craftsmanship
Every phase of the process is designed to help you make confident decisions while we manage the complexity behind the scenes.
PROCESS OVERVIEW
Every custom home follows five major phases:
-
Initial Consultation & Site Evaluation
-
Architectural Design
-
Pre-Construction Planning
-
Construction
-
Completion & Move-In
Each phase builds on the previous one, ensuring that design, budget, and construction logistics remain aligned throughout the project.
Phase 1 - Initial Consultation & Site Evaluation - (Typical Duration 2-4 weeks)
Every successful custom home begins with a thoughtful conversation.
During this initial stage we focus on understanding:
• your goals for your new home
• your desired architectural style
• your budget expectations
• your expectations for the timeline
• the characteristics of your property
If you already own land, we evaluate the site to identify opportunities and potential challenges such as:
• zoning requirements
• setbacks and design guidelines
• drainage and flood considerations
• soil conditions and tree mitigation
• utility access
If you are still searching for land, we can assist in evaluating properties before purchase. Having a builder involved early can help prevent costly surprises later.
The goal of this phase is simple: ensure your vision, site, and budget are aligned before design begins.
Why Apex Homes Florida
Founder-Led Oversight • Licensed Florida General Contractor • Structured Preconstruction-First Planning
Phase 2 - Architectural Design - (Typical Duration 3-6 months)
The design phase is where your ideas begin to take shape. Working closely with the architect and design team, we help translate your vision into a functional and buildable home design.
This phase typically progresses through several steps:
Preliminary Design
Early concepts are developed to establish:
• home size and layout
• architectural style
• room relationships
• outdoor living spaces
• site orientation
Preliminary Budget Alignment
Once an initial design is developed, we prepare a preliminary cost evaluation using current labor and material pricing.
This step is extremely important. Identifying cost gaps early allows adjustments to be made before plans are finalized — saving time, money, and frustration later.
Final Plans and Engineering
After refining the design and confirming alignment with your goals and budget, the architect completes the full construction drawings and engineering documentation required for permitting and construction.
Phase 3 - Pre-Construction Planning - (Typical Duration 3-6 months)
With the architectural design complete, we shift into the detailed planning required before construction begins.
This phase ensures that the project is fully organized before the first shovel enters the ground.
Key steps include:
Final Specifications & Budget
We develop a comprehensive scope of work and finalize the project specifications with our network of trusted trade partners.
This creates clarity around:
• materials and finishes
• construction methods
• project cost expectations
Permits & Approvals
We coordinate all required approvals, including:
• municipal permitting
• HOA or architectural review boards
• engineering documentation
Interior Design Selections
During this stage you will also begin selecting the finishes that personalize your home, such as:
• cabinetry
• flooring
• lighting
• plumbing fixtures
• countertops and tile
Our team works closely with the interior designer to ensure that all selections are documented and aligned with the construction schedule.
Phase 4 - Construction - (Typical Duration 14-18 months)
Once planning is complete and permits are approved, construction begins. During construction our team coordinates every aspect of the build, managing the many moving parts required to bring the project to life.
Major stages of construction typically include:
Site Preparation & Foundation
• grading and site preparation
• foundation construction
Structural Framing & Exterior Shell
• framing
• roofing
• exterior doors and windows
Mechanical Systems
• plumbing
• electrical
• HVAC
• low-voltage systems
Interior Finishes
• insulation and drywall
• flooring and trim
• cabinetry and countertops
• lighting and plumbing fixtures
Throughout the construction process we provide regular progress updates and photos, and we schedule specific walkthroughs at critical stages, so you remain informed as your home takes shape.
Phase 5 - Final Walk-Through & Move-In
As construction nears completion, we conduct a series of inspections and quality reviews to ensure every detail meets our standards.
Once all municipal inspections are complete and the Certificate of Occupancy is issued, we schedule your final homeowner orientation.
During this walk-through we review:
• home systems and maintenance
• warranty coverage
• final project details
Then comes the most rewarding moment of the entire journey: moving into your new custom home.
Warranty & Continued Support
Our relationship with our clients does not end at move-in.
Apex Homes provides:
• 1-year workmanship warranty
• 2-year mechanical systems coverage
• 10-year structural warranty
More importantly, our team remains available to support you long after construction is complete. Our goal is not simply to build houses — it is to build lasting homes and long-term relationships.

Custom Home Planning Answers and Guidance
Looking for a luxury custom home builder in Jacksonville or Northeast Florida? Apex Homes Florida designs and builds coastal-inspired custom homes through a white-glove design-build process.
What should we do first—find a lot or hire a builder?
Either path can work, but the best outcomes happen when we’re involved early. If you already own a lot, we’ll evaluate constraints and opportunities before design begins. If you’re still searching, we can help you assess buildability, setbacks, utilities, drainage, and long-term value so you don’t buy a property that limits your vision or inflates costs.
How do you help us align design with budget before we get too far?
We establish budget clarity early through a structured design-build approach—aligning concept, square footage, structural requirements, and finish level before plans are finalized. This prevents the common scenario where homeowners fall in love with a design that later requires major redesign to fit the real budget.
What timeline should we realistically expect for a fully custom home?
Most true custom homes require meaningful time for design, engineering, selections, permitting, and construction. Timelines vary based on complexity and approvals, but we set expectations early with a realistic schedule so you understand what’s ahead—before you’re committed.
How do selections and finish levels affect schedule and cost?
Selections drive both cost and lead times. High-end materials, custom cabinetry, specialty lighting, and long-lead items can impact the schedule if they’re not decided early. Our process helps you make key selections at the right time so your budget stays controlled and your build stays moving.
What makes your design-build process different from hiring a designer and a builder separately?
Design-build keeps design intent, budget, and construction feasibility aligned from day one. Instead of managing multiple parties and hoping everything matches up later, you have one coordinated team, clearer accountability, fewer surprises, and a smoother client experience.
How involved will we need to be during planning and construction?
We keep the process clear and organized, but your involvement matters—especially during planning and selections. We guide you step-by-step so decisions are made confidently and on time. Clients who want a white-glove experience and value consistent communication tend to thrive in our process.
Do you take on every project?
No. We’re selective because fully custom homes require intense attention to detail. The best fit is a client who values quality, transparency, and a collaborative process—and understands that true custom construction is a major investment of time and resources.
What are the most common mistakes homeowners make before starting?
The biggest issues we see are purchasing a lot without evaluating buildability, underestimating timeline, and starting design without aligning budget and scope. Our process is designed to prevent these mistakes early, which saves time, reduces stress, and avoids costly redesigns.
